Currently, due to departmental growth, we are in need of a dedicated Property Management Assistant to join the team in Vancouver, BC. The ideal candidate is a highly organized individual who is an effective communicator and a creative problem solver, ideally with an administrative background.  Experience with the Yardi suite of products is an advantage.

Role & Responsibilities

Reporting to the Director of Property Management, the Property Administrator assists the Property and/or Leasing Manager(s) in the day-to-day operations, leasing, tenant renewals, maintenance and repair coordination, communications and overall management of the properties and tenants. the ability to work under pressure while delivering an exceptional customer service experience.

The primary duties of the Property Management Assistant may include but are not limited to:

  • Accurately drafting correspondence and other documents for clients as directed by the Property or Leasing Manager(s) and within the timeline pursuant to regulations;
  • Proactively following up with Property Managers, Accountants, and other support staff as necessary to provide operation support in the day-to-day implementation of policies and procedures;
  • Working with Property Accountants and the Property or Leasing Manager(s) to assist in the collecting of rents and resolving tenant arrears;
  • Following internal process flow and regulatory guidelines to issue notices as required including such situations as late payments, returned checks or eviction when directed by the Property or Leasing Manager(s);
  • Consistently inputting and updating client records, related filings and leases ensuring accurate Tenant information is tracked;
  • Providing effective and efficient administration support, including answering phones, accurate and timely record keeping, processing invoices and coordinating support services;
  • Assisting with new client set up and the closing and transition of terminated accounts;
  • Assisting the Marketing Department with task related to the rental portfolio;
  • Ensuring the distribution of financial statements and quality presentation of owner reports and other correspondence to owners and clients within the respective time requirements;
  • Facilitating the response to tenant inquiries and building emergency situations in absence of the Property or Leasing Manager;
  • Following up with accounting department as needed to provide status or information regarding accounts payable, accounts receivable, financial statements;
  • Ensuring client matters are responded to in a timely manner and within regulatory
  • Undertaking accounts payable and receivable duties in relation to the management of the overall portfolio, including workflow management of the electronic invoicing system (Yardi Elevate P2P).

Skills and Requirements:

  • Completion of a high school diploma;
  • Undergraduate degree in Real Estate, Business, or other relevant area of study considered an asset;
  • Minimum of 1-2 years’ experience working in Property Management and/or the Real Estate industry;
  • General understanding of accounting principles and procedures especially on accounts receivable and payable;
  • Demonstrating maturity, confidence and tact, particularly when dealing with difficult issues or conflict;
  • Strong knowledge of the Residential Tenancy Act;
  • Strong interpersonal skills and communication skills to work with team members from many different departments with competing priorities;
  • Highly reliable with a strong work ethic, attention to detail and excellent organizational skills;
  • Experience with Yardi considered an asset;
  • Advanced proficiency in Microsoft Office Suite;
  • A team player who works well in a collaborative environment;
  • A willingness to ask questions and a desire to be continually learning;
