Over the last 2 years, the Ultragenyx Europe Middle East Africa (EMEA) Region has grown quickly driven by clinical development activities and new product launches in the EMEA territories.  As part of the HR Operations team and in partnership with the Regional HR team members, the Manager, EMEA HR Operations is responsible for managing and executing HR operational processes across the EMEA region. This role ensures that HR processes and systems are efficient, compliant with local regulations, and aligned with company policies.  

Work Model: 

Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.

Remote: Officially documented as working full-time from home, with travel to Ultragenyx's offices or other locations on occasion as needed.

Responsibilities:

  • Lead and Support EMEA HR Process Improvement Projects: Initiate and provide leadership, subject matter expertise (SME), and support for HR process improvement initiatives in growing region. This includes process for managing employee contracts, improvements to new hire onboarding program and managing working time.
  • Employee and Contingent Worker Life Cycle Management: HR process and lifecycle management for full-time employees, fixed-term contract employees, and temporary workers. This includes new joiner presentations, administering the onboarding and offboarding processes, monitoring employment and consultant contracts, expiration notifications and amendments and termination documentation.
  • Payroll Data Management: Collect and accurately enter monthly payroll data into the UKG HRIS system. Collaborate with relevant stakeholders to resolve payroll-related issues.
  • HR Operations EMEA region expertise: Serve as SME for all HR Operations matters in EMEA region; monitor updates and ensure adherence to local labor laws and regulations, including adherence to collective bargaining agreements, union agreements, and Work Councils. Assist with internal and external HR operations audits.
  • HR Business Partner Operations Support: HR Data reporting, PowerPoint slide preparation, translations and triage correspondence to HR Centers of Expertise.
  • Employee Benefits Support: Work in close partnership with Manager, Global Benefits and local benefits brokers to ensure consistent and competitive benefits offerings across each geography, including new country benefits/payroll set up. This includes evaluating Ultragenyx global benefit programs against market trends and best practices within our industry.
  • Employee Support: Provide support and guidance to employees on HR-related queries; resolve issues and escalate as necessary.
  • Communication Support: Provide EMEA-specific input on HR related manager and employee communications, FAQs, and standard operating procedures.

Requirements:

  • Fluent in English required, fluent in French or German strongly desired
  • 5+ years experience in multi-national, HR Operations role; HR Operations expertise in EMEA region; deep expertise in 1 or more of the following countries – Switzerland, France, Germany
  • Strong project management and time management skills, able to manage multiple projects and operational tasks simultaneously
  • Proven track record to adapting quickly to evolving situations and shifting priorities; Being flexible, resilient, open-minded, and creative
  • Effective team player with a demonstrated commitment to contributing to team success and fostering a collaborative work environment.
  • Proven ability to handle employee interactions and resolve issues professionally, empathetically, and efficiently
  • Global mindset – Ability to address local issues and apply a global perspective, integrating international best practices and trends into localized strategies and solutions
