Job description

SUMMARY 

The Education Assistant is a temporary position that supports the education team by assisting with administrative tasks, organizing supplies, and coordinating communication and logistics for studio programs, special events, and tours. The role also involves conducting research and preparing materials for current and upcoming exhibitions to ensure the smooth execution of educational initiatives.

SCHEDULE:

  • Hours: 20-25 hours per week

  • Days: Tuesday to Friday

  • Time: 9:00 AM–3:00 PM

  • Duration: August 20–November 27

RESPONSIBILITIES

General Administrative Duties

  • Assist with preparing credit card reports
  • Help manage the budget track sheet for the education department
  • Oversee the education email inbox and redirect/answer emails from stakeholders
  • Cover lunch breaks for Visitor Services staff as assigned
  • Attend and assist with events on weekends/evenings as assigned (advanced notice provided, please see complete schedule details at the end of this document)

Studio Programs 

  • Assist in sending out class reminder emails to instructors with attendee lists
  • Help manage class waitlists and fill spaces as needed
  • Assist in confirming supply needs with instructors and organizing supply orders for purchase
  • Support sending out surveys following the completion of classes
  • Help create and submit check requests for approval for instructors who are not on payroll
  • Assist in planning for studio programs in the next exhibition cycle

Special Events

  • Communicate with vendors and community partners under guidance
  • Assist in developing event interactive activities
  • Help identify supply needs and organize supply orders for purchase
  • Assist in creating schedules for day-of staff and volunteer coordination

Tours 

  • Respond to inquiries and send confirmation and reminder emails
  • Assist in creating calendar events
  • Help send post-visit surveys
  • Assist in adding scheduled dates and slots to Sign-Up Genius for Guided Tours
  • Help handle invoicing and credit card receipts for art-making fees
  • Prepare and re-order artmaking supplies as needed

Exhibitions 

  • Assist in restocking and re-ordering supplies for ARTlab
  • Conduct research for upcoming exhibition ARTlab interactives
  • Help create a library book list
  • Assist in editing audio tours
  • Assist with organizing and installing the PRISMS Art Camp Exhibition
  • Update the Google Site with training recordings and resources under guidance

SKILLS & ABILITIES 

  • 1+ years of management or related experience and/or strong investment in art education
  • High School Diploma
  • Ability to lift and/or move up to 50 pounds
  • Ability to stand and sit for prolonged periods
  • Ability to maintain continuous physical activity while working safely in an office and studio environment
  • Strong customer service and administrative skills
  • Ability to assess priorities and manage multiple projects
  • Clear and effective communication skills
  • Strong interpersonal skills with a positive, creative approach to being imaginative, flexible, and resourceful
  • Knowledge of modern computer programs (including Microsoft Suite)
  • Experience working in youth-based programs and art studios, preferred
  • Valid Driver’s License with a good driving record
  • Background check is required

    • Saturday, September 28: 9:00 AM–12:30 PM
    • Saturday, October 5: 9:00 AM–4:30 PM
    • Sunday, October 6: 9:00 AM–3:30 PM
    • Sunday, November 10: 9:00 AM–2:30 PM
    • Thursday, October 17: 5:00 PM–8:30 PM
