About the role

Join our team as an Executive Assistant/Office Manager! If you thrive in a fast-paced environment, excel at multitasking, and have a knack for problem-solving, we want to hear from you. Your responsibilities will include supporting our team in various administrative tasks, coordinating events and ensuring smooth operations across our offices.

What the role involves

  • Support the board (CTO and COO) by managing travel arrangements and accommodations, scheduling meetings and managing calendars, as well as other administrative tasks as required,
  • Conduct research and execute various tasks (finding vendors, coordinating shipments, ordering gifts for clients or team members, booking restaurants, buying tickets to events, conducting research on various topics as required, supporting colleagues),
  • Oversee office space management in two cities, ensuring optimal utilization of space,
  • Maintain office supplies and ensure inventory levels are adequate for operational needs,
  • Manage office schedules and meetings, booking conferences room, ensuring smooth coordination,
  • Handle incoming and outgoing communications, correspondence, and deliveries promptly and efficiently,
  • Maintain records and databases, ensuring accuracy and confidentiality of information,
  • Coordinate multiply end-to-end team events, meetings, and team-building activities,
  • Track of office-related expenses, identify cost-saving opportunities while maintaining quality.
