Job Overview:
We are currently seeking a resourceful and proactive Personal Assistant to offer dedicated support to our CEO. This pivotal role involves streamlining operations, optimizing the CEO's efficiency, and ensuring smooth day-to-day functioning. The ideal candidate will demonstrate exceptional adaptability, excellent problem-solving skills, and a keen eye for detail. Key Responsibilities:
Administrative Management:
Manage all personal affairs for the CEO, including booking appointments, reservations, and travel arrangements.
Coordinate itineraries, making reservations at various venues including restaurants and hotels.
Organize calls, meetings, and events, ensuring all protocols are followed especially when guests are involved.
Maintain and manage the CEO's calendar, prioritizing tasks that require immediate attention.
Facilitate personal bill payments and expense reports, liaising with the Executive Office and Controller as necessary.
Manage all incoming correspondence via phone, fax, and mail, ensuring timely responses.
Develop and maintain a robust information management system, both physical and digital, serving as the central repository for the Executive Office.
Office and Event Management:
Oversee the general management of the Executive Office, troubleshooting technical issues with phones, computers, and other office equipment.
Plan and organize diverse events such as meetings, conferences, dinners, and speaking engagements, handling all necessary preparations, note-taking, and follow-up.
Assist in communication tasks, including formatting presentations and reports.
Maintain an extensive contact database comprising vendors, personal contacts, potential sponsors, and business partners.
