Summary: We are seeking a dynamic and experienced Real Estate Manager (Maternity Cover Contract)

We are seeking someone to join our Global Real Estate & Facilities team. Working alongside the Real Estate & Facilities Manager, the ideal candidate will have a strong background in Real Estate and/or facilities management, with a focus on the contractual aspects of leasing agreements. They will be responsible for managing leasing & facility contracts, negotiating changes or renewals, and ensuring compliance with legal requirements. This role will also require involvement with our facility management team working on global office projects and operational initiatives as they occur. This role will also act as coverage to our Real Estate & Facilities Manager when they are out of office.

This role requires a strategic thinker with excellent negotiation skills, a deep understanding of leasing contracts, and the ability to collaborate effectively within a team, across global offices and with reporting towards senior executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Assist in managing our international portfolio of offices alongside Head of Real Estate & Facilities (keeping track of critical dates, expirations, payment schedules), including direct leases, subleases, serviced office agreements and consolidations from integrations.

· Manage upcoming leasing contracts for our building & facilities, ensuring compliance with legal requirements and company standards.

· Negotiate changes or renewals to existing leasing agreements (building & facilities) to optimise terms and conditions.

· Collaborate with global offices to coordinate leasing activities (building & facilities) and ensure consistency across regions.

· Prepare and deliver compelling PowerPoint presentations to senior executives, providing updates on leasing activities (building & facilities) and strategic initiatives.

· Develop and manage budgets related to leasing activities, including forecasting and cost analysis. Prepare reports on these for senior management as requested.

· Stay updated on industry trends and best practices in facilities management and leasing, proactively identifying opportunities for improvement.

· Work alongside the Real Estate & Facilities Manager to help us globalise our existing vendor portfolio ensuring vendor performance is managed.

· Work alongside the Real Estate & Facilities Manager for our day-to-day running of the Real Estate & facilities management budget.

· Preparation of monthly and ad hoc operations reports for board/management meetings as requested.

· Assist with special projects where assigned.

· Actively question methods and processes to assist with streamlining global efficiencies.

· Able and willing to support additional duties, as and when required, including team coverage for out of office.

· Adhere to Waystone company policies, procedures, cultures, and values.

· Represent Waystone in an ethical and professional manner.

· Maintain a complete knowledge of the Waystone Group structure, personnel names, and titles.

Qualifications and experience:

· Bachelor’s degree in business administration, Real Estate, or related field.

· Minimum 5 years of experience in facilities management, with a focus on leasing contracts.

· Proven experience negotiating and managing leasing agreements, preferably in a global context.

· Proficiency in Microsoft Office Suite, particularly PowerPoint, Excel, and Word.

· Experience in lease management and reporting.

· Strong legal knowledge related to contracts and leases.

· Excellent communication and presentation skills, with the ability to interact effectively with senior executives and global stakeholders.

· Strong analytical skills and attention to detail, with the ability to manage budgets and analyse leasing data effectively.
