SALARY RANGE: $44,840 - $58,905
EFFECTIVE: Immediately upon fulfillment

JOB SUMMARY
As American Rivers executes a comprehensive $100 million fundraising campaign to scale our work and impact, the Campaign and Development Associate will provide critical administrative and project support to both campaign leadership and development operations that will ensure campaign success. Reporting to the Senior Director, Planned Giving & Development Operations, they will work closely with the Senior Vice President, Advancement, other staff, the campaign cabinet, and the campaign consultant to help keep the campaign on schedule and progressing with a high level of visibility and momentum that inspires excitement and confidence in achieving the campaign goal. Travel up to 10% for staff retreats, trainings, conferences, and professional development opportunities, as needed, is required.

KEY DUTIES AND RESPONSIBILITIES

  • Campaign cabinet meetings
    -Schedule meetings. Track RSVPs. Send meeting reminders. Organize and distribute meeting materials. Attend meetings, record attendance and keep accurate and detailed notes. Follow up with attendees, ensuring all staff and volunteers have what they need to complete agreed upon next steps.
    -Strategy and solicitation preparation
    -Coordinate with SVP, Major Gift Officers, the executive office, and campaign consultants as needed to schedule strategy sessions and solicitation preparation meetings for every prospect/donor. Prepare draft strategy documents and scripts and distribute prior to meetings. Update records and ensure follow-up activities are tracked in plans.
    -Major donor meetings

-Coordinate with SVP, Major Gift Officers, and the executive office to schedule major donor meetings. Prepare draft proposals, donor packets, solicitation scripts, and other meeting materials and distribute to staff prior to meeting. Update records and ensure follow-up activities are tracked in plans so they can be completed in a timely manner.
-Gift Acknowledgement and Tracking

-Prepare personalized campaign commitment forms and send to major gift officers. Under supervisor direction, send commitment forms to donors for electronic completion through Adobe Sign. Track outstanding commitment forms and provide status update to campaign leadership weekly. Assign follow-up activities to gift officers.
-As commitment forms are received, notify gift officers and campaign leadership, update donor and campaign files, send copy to Development Operations, and update gift chart as directed.
-Prepare acknowledgement letters for CEO signature within 48 hours and coordinate acknowledgements from major gift officers. Update donor and campaign files with all stewardship activity.
-Under supervisor direction, prepare and send pledge reminders monthly.

-Activity Tracking and Campaign Reporting

-Prepare and distribute weekly report of activities to all assigned staff to ensure deadlines are met.
-Coordinate with staff to ensure prospect plans are updated as tasks are completed, and new tasks are assigned.

-Assist with the coordination of campaign-related events and engagement activities.
-Fulfill a variety of campaign communications and benefits in collaboration with frontline fundraisers and other members of the Advancement team.

-Prepare and mail/email IRS-compliant donation receipts weekly.
-Record all agreements and documentation for gifts $1,000+ in the donor database.

-Assist with other functions associated with gift processing and quality assurance as directed.
-With support from Development Operations, distribute campaign reports including progress to financial goals, cash flow, gift chart and scheduled solicitations.
-Other duties

MINIMUM QUALIFICATIONS

o A Bachelor’s degree and 1 year of relevant experience, or a minimum of 2 years of relevant experience;
o Requires experience and strength in the following areas: project management, verbal and written communications, teamwork, and dependability;
o Proficiency with Zoom Phone and Meetings and MS office suite, especially Outlook, Word and Excel;
o Ability to track multiple deadlines and coordinate with staff and volunteers to ensure all deadlines are met;
o CRM experience, including data entry, is required; development database experience preferred;
o Highly organized with keen attention to detail;
o Capable of working well with a team as well as independently;
o Ability to react and adapt to changing situations appropriately.
