The Role 

​​​​​​​BGC is looking for a highly motivated and organized Office Administrator to join our Ottawa Team. The ideal candidate would be a self-starter who values teamwork, takes initiative, and takes pride in their work. In this office-based role you will be responsible for supporting a range of administrative needs and collaborating with your fellow administrative teammates across BGC. You will report to the Ottawa Office Manager and BGC’s Administration Team Lead, and will be working in a fast-paced, dynamic consulting environment alongside our Engineers, Geoscientists, and other BGC teams. 

Responsibilities  

  • ​​​​​Manage and coordinate the operation and functionality of office space, ensuring all systems are functioning properly and organizing necessary updates and improvements

  • ​Liaise with building management and local vendors for repairs, maintenance, and security

  • ​Light reception duties including receiving visitors and vendors, shipping and receiving, printing and scanning

  • ​Maintain office organization, various office equipment, and supplies inventory

  • ​Coordinate the onboarding of new staff and act as a general resource for new hires

  • ​Assist with planning office and company social events and meetings, and catering

  • ​Approve office related invoices and complete office credit card reconciliations

  • ​Coordinate travel and accommodation logistics for staff and clients

  • ​Maintain and report accurate staffing updates for local staff, ensuring all records are current and discrepancies are promptly addressed

  • ​Support workspace planning initiatives, office renovations and expansions

  • ​Work with BGC’s IT Team on local office needs, maintenance, and functionality of IT and AV equipment

  • ​Support senior level staff with expense report submissions, travel coordination, and meeting scheduling

  • ​Provide in-person support to smaller regional offices, requiring regular, short term travel to provide in-person support 

    • Tasks could include shipping/receiving, liaising with building management and local vendors, maintaining office organization and supplies inventory, assisting with planning meetings and social events, and other tasks as required
  • ​Support the Ottawa Office Manager, office staff and greater BGC Administrative Team as needed

  • Perform other tasks as required ​​​​

Required Education, Experience & Competencies  

  • ​​​​​Minimum 7 years of relevant work experience

  • ​Proactive and self-motivated

  • ​Reliable, adaptable, and able to pivot with changing priorities

  • ​Ability to prioritize tasks to meet deadlines with attention to detail

  • ​Collaborative approach to working in a team environment

  • ​Proficient in MS Office products and Adobe Acrobat

  • ​Comfortable with learning new technology and software

  • ​Excellent verbal, written communication, and organizational skills

  • ​Ability to work both independently and as part of a team
