The Role

The Operations Administrator provides administrative support to ensure efficient operation of the MCaP Project Management department. The role includes a variety of tasks related to organization, communication, and document control.

Accountabilities:
Document Control
• Receive, organize, log, and manage all contract documents including any revisions to the contract documents.
• Control and maintain files such as correspondence, daily logs, and safety meeting minutes.
• Create submittal/expediting log in Project Tracking at the start of the project. Keep submittal/expediting log up to date within Project Tracking.
• Send and/or log all BSCs and submittals as directed by the PM/PE.
• Prepare and assemble closeout documentation, including operating & maintenance manuals, valve charts, commissioning reports, and turnover packages.

Clerical Support
• Assist Project Managers with clerical tasks such as change order requests, filing, data entry, preparing submittals and general correspondence.

Expediting
• Coordinate with the field for delivery calls.
• Contact vendors for up-to-date delivery dates of equipment / material.

Qualifications
Skills
• Proficient in managing multiple tasks and prioritizing work in a dynamic environment with time constraints and strict deadlines.
• Strong and well developed written and verbal communication skills and excellent attention to detail.
• Team player with the ability to build and cultivate superior customer service.
• Maintain positive relationships with internal and external contacts while strengthening relationships between our Brand and audience.
• Efficient computer skills with knowledge of Microsoft Office and aptitude for learning internal administrative and clerical procedures.
• Proficient in the use of Bluebeam Revu.

Education and Experience
• High School Diploma or equivalent required.
• Experience in working effectively in a fast-paced work environment and handling situations in a professional manner.
• Prior work experience in the plumbing, HVAC and/or mechanical construction industry a plus.

Physical Requirements
• Ability to sit for long periods of time, walk, stand, bend, stoop, use hands and fingers, lifting < 40 lbs.
