Job Purpose

The Purchasing Assistant is responsible for assisting the Purchasing Manager in carrying out all duties associated with the Purchasing and Sales Support Function.

The primary job responsibilities include:

·       Processing 3rd party and managed service purchase requirements

·       Provide a high level of support in all aspects to the Internal technical and sales teams

·       Maintaining key supplier relationships

Key Accountabilities

·       Liaising with suppliers and the sales team to assist with proposals and procurement of multi-vendor IT requirements

·       Maintaining and delivering accurate order status information to the sales team and end users until fulfilment

·       Invoicing orders and pricing reconciliation, also ensuring accurate documentation and records are kept for audit purposes

·       Handling any supplier, customer or Internal team queries

·       Filing and archiving procurement documentation

·       Using various on line supplier portals and tools to offer discounted pricing and financing options to end users including preparing finance lease quotations

·       Establishing and maintaining Internal hardware and software contracts and subsequent renewals

·       Working closely with Internal teams to maintain the contract renewal and asset database

·       Liaising with suppliers and Internal teams to assist with contract renewal pricing

·       Maintaining and delivering accurate information to Internal teams

·       Monitor and complete contract close, extension or renewal as appropriate

·       Consolidation of contracts and vendor renewals to achieve economies of scale and ease of administration
