Description:

Digitain is looking for a Deputy Chief Administrative Officer to fill the vacancy.

Responsibilities:

  • Implement the Company’s annual procurement plan, ensuring the effective operation of the Procurement Unit, and reasonable budget spending.

  • Set the KPIs of the Procurement Unit and oversee the team’s performance.

  • Monitor and ensure that the supplier database is regularly updated, source new suppliers, and organize the process of concluding contracts.

  • Organize effective and prompt communication and feedback between suppliers and the company’s units to cater for the company’s procurement deliverables timely.

  • Monitor timely delivery of procurement tickets by the procurement unit daily, and organize the procurement process, by the requirements of the company’s procurement policy.

  • Organize and oversee proper handling and transparency of procurement-related documents, records and contracts, and make sure that all relevant documents and correspondence are accessible on relevant Company platforms, archives and systems.

  • Organize the processes of facility maintenance and operation by making, updating and monitoring relevant schedules.

  • Monitor and evaluate the performance of the administration and procurement teams, by their job descriptions and tasks.

  • In the absence of the Chief Administrative Officer, perform all the functions arising from the official duties of the latter, including the opening of new offices, and smooth organization of operation and maintenance of new offices by the company’s office maintenance standards.

  • Organize smooth team movements within company offices when necessary and make sure that the moving teams are provided with relevant furniture and equipment according to office maintenance standards.

  • Prepare and submit regular management reports, metrics and statistics.

  • Carry out other assignments arising from the duties, including assignments by the line manager.

Requirements:

  • Higher education in economics or law, Bachelor’s degree or Master’s degree in Business Administration or Supply Chain Management
  • A minimum of three years of experience in procurement management and, a minimum of five years of experience in management are mandatory
  • Excellent knowledge of the procurement and supply chain management processes
  • Knowledge of laws and procedures related to freight transportation and logistics
  • Knowledge of administrative management of office spaces and infrastructures
  • Excellent negotiation skills
  • Excellent skills in organizing teamwork and proven experience in management
  • Excellent communication skills in English and Russian, both written and verbal
  • Proven experience in simultaneous management of multiple projects with tight deadlines
