Job description

The primary responsibilities will be to:

  • Coordinate end of month reconciliations
  • Manage and execute procurement processes for the laboratory and main office, ensuring timely acquisition of supplies and services.
  • Source and evaluate suppliers, negotiate contracts, and establish beneficial vendor relationships.
  • Monitor inventory levels and coordinate with stakeholders to determine procurement needs.
  • Prepare and process purchase orders and ensure accuracy of documentation.
  • Track and analyze purchasing trends, expenses, and supplier performance.
  • Drive between laboratory and office locations as needed to facilitate procurement activities.
  • Maintain accurate records of purchases, pricing, and delivery schedules.
  • Collaborate with internal teams to understand their requirements and provide procurement support.
  • Ensure compliance with company policies, procedures, and relevant regulations.
  • Communicate effectively with suppliers and internal stakeholders to resolve issues and ensure smooth procurement operations.
  • General site administration support
  • Assist in invoicing, purchase orders, processing of contractor timesheets
  • Organising rosters and travel arrangements, booking flights etc
  • Mobilisation support
  • Maintaining site records and registers
  • Compiling and updating reports
  • Other administrative duties as required
  • Motivated and has an eye for detail
  • Accurate data entry and can work unsupervised
  • Enjoys working in a busy team
  • Has flexibility to change roster if required due to site requirements i.e. availability of flights or accommodation over certain weeks.

The position is available on a casual basis.

Skills and experience

  • STEM Acumen: Understanding of scientific principles for procurement in technical fields, ability to comprehend technical specifications and requirements, analytical skills for evaluating technical products and services.
  • Procurement Skills: Sourcing and vendor evaluation, contract negotiation skills, supply chain management knowledge.
  • MS Office Proficiency: Excel for data analysis, Word, and PowerPoint for documentation.
  • Interpersonal and Communication: Strong verbal and written communication, relationship building with suppliers and stakeholders, active listening for understanding needs.
  • Problem-Solving Abilities: Issue identification and resolution, timely response to supplier challenges, strategic problem-solving approach.
  • Team Player Attitude: Collaboration within cross-functional teams, supportive and positive work environment, flexibility, and adaptability to changing priorities.
