Job Summary
The Leasing Coordinator is directly responsible for the coordination and support of the lease deal process for the assigned markets. This includes providing reporting and analytical support on each lease deal. This position reports to Vice President – Leasing and is an in-office 5 days a week role.

Essential Job Functions
•  Sends out, processes, and reviews the fully executed lease submission package, including all lease documents to confirm proper documentation and accuracy.
•  Calculates lease commissions, including those for exclusive brokers, tenant representatives, and JV Partners for the appropriate person on the leasing team to approve.
•  Obtains all necessary approvals from the Delegation of Authority.
•  Track all leases/amendments and their documentation including security deposits and letters of credit, from receipt of tenant executed lease/amendment including internal lease execution by EQ Office signatory.
•  Responsible for verifying and adhering to Authorized Signatory protocol for lease execution.
•  Maintains leasing pipeline by coordinating with internal VP-Leasing, Director-Leasing, and 3rd party leasing brokers including gathering data for View The Space for deal economics and deal status updates.
•  Coordinates with property staff to ensure all documents pertaining to tenants are uploaded into the document storage system.
•  Tracks and processes commencement letters as new leases commence in conjunction with property teams.

Responsible for splitting and combining suites either per new lease requirements or in conjunction with a building re-measurement, working directly with the EQ team.
•  Coordinates with Regional Finance Team to determine appropriate lease forecasting action at the suite and deal level, on a monthly and quarterly basis as required.
•   Provides support to the Regional Finance Team during the annual budgeting and monthly forecasting processes including variance analysis and miscellaneous reporting.
•  Provides reporting and analytical support to the Leasing team and Senior Leadership teams as requested.
•  Work closely with in-house attorneys, outside counsel, corporate departments, and field personnel on real estate-related leasing matters.
•  Work alongside Marketing to ensure all property websites have the most up-to-date material.
•  Route, review, process, maintain, and distribute leasing legal documents: Listing Agreements, Commission Agreements, DAS forms, Leases, Amendments, NDAs, Commission Invoices, Legal invoices, etc. once approved by the appropriate person on the leasing team.
•  Support leasing team in the sending out and tracking of ROFOs & ROFRs in addition to the filing of returned notices.
•  Reviews the lease submission package, including the lease documents, to confirm proper documentation.
•  Prepares NPV calculations and compares against approved budget for each deal in View The Space (VTS).
•  Assist in credit reviews of tenant financials.
•  Track receipt of security deposit or letter of credits and monitor receipt of renewal letter of credit in tandem with leasing and amendments getting executed.
•  Ensure all property data, photos, brochures, etc. are uploaded to the EQ Office portfolio website.
•  Work with CoStar on ads.
•  Request and maintain broker lists.
•  Maintain Property lists for leasing team.
•  Gather quarterly market info for board meetings.
•  Provide ad hoc data project/reporting support to the EQ Leasing team: Building lists, Known Vacates, Availability lists/Floor plans, Repositioning ideas, Market data research. Provide printed reports and/or distribute as requested.
•  Support leasing team in additional review of first drafts of new lease documentation and provide comments or changes on material terms and determine if any existing provisions should be deleted in the new subsequent document.
•  Notices received for Option Renewals, Terminations, ROFO and ROFR will be reviewed for accuracy (and timeliness) and thereafter, disseminated to Leasing Team and Property Management prior to processing.
•  Monitor all upcoming Lease Expirations to confirm monthly and quarterly tenant move-outs with Property Management Teams.
•  Monitors all Leases that have Landlord Work requirements to be completed prior to delivery of the premises or another component to commence rent (i.e. gov. approval, permit, CO, etc.).
•  Monitor monthly Options and Terminations within your markets and send out appropriate email to the leasing team with details on upcoming Options and/or Termination Rights, along with automatic Options that will need to be processed monthly.

Qualifications

  • A bachelor’s degree in business or related field required and commercial real estate experience is preferred.
  • Minimum of 3 years of related experience in lease administration, real estate, or property management.
  • Experience with a real estate accounting/management system is a plus.
  • Highly proficient in Microsoft Office: Outlook, Excel, PowerPoint, Word.
  • Photoshop, Illustrator and CAD preferred.
  • Skilled with the VTS platform.Argus and Yardi experience is a plus.

Base Salary Range:  $85,000-$100,000.  This represents the presently-anticipated low and high end of the Company’s base salary range for this position.  Actual base salary range may vary based on various factors, including but not limited to location and experience.
