Job Summary:
The Compliance Coordinator is responsible for ensuring all roofing operations adhere to industry regulations, insurance requirements, contract stipulations, and safety standards. This role also includes managing and submitting various applications, such as contracts (including government contracts), licensing, and insurance forms. The coordinator ensures compliance with all legal, safety, and regulatory requirements while working closely with internal teams and external stakeholders to maintain effective and compliant operations.
Key Responsibilities:
- Insurance Compliance:
- Manage all aspects of insurance compliance, including verifying contractors’ insurance coverage (liability, workers' compensation, etc.).
- Liaise with insurance providers to address issues and ensure timely claims processing.
- Complete and submit insurance applications, renewals, and maintain records of all policies.
- Contract Management:
- Review, draft, and manage roofing contracts, including private and government contracts, ensuring all legal and financial compliance aspects are addressed.
- Prepare and submit contract applications for both private and government contracts, ensuring all necessary documentation is accurate and complete.
- Collaborate with legal counsel to ensure contracts protect the company’s interests and comply with relevant regulations.
- Track key contract dates, obligations, and milestones to ensure on-time compliance and performance.
- Licensing and Registration:
- Complete and submit licensing applications, renewals, and updates for roofing operations across relevant jurisdictions.
- Prepare and file Secretary of State applications, ensuring proper business registration and renewals are maintained for all relevant states.
- Monitor license and registration expiration dates and ensure timely renewal to avoid lapses in compliance.
- Government Contracts:
- Ensure compliance with federal, state, and local regulations for all government contracts.
- Prepare, submit, and track government contract applications, ensuring compliance with all necessary requirements and guidelines.
- Manage reporting, certifications, and documentation required for government projects.
- Safety Compliance:
- Develop, implement, and enforce safety protocols to ensure compliance with OSHA and other safety regulations.
- Conduct regular audits and inspections of job sites to ensure adherence to safety standards.
- Oversee and coordinate employee safety training and certification programs.
- Regulatory Compliance:
- Monitor regulatory updates to ensure ongoing adherence to industry standards and laws.
- Conduct internal compliance audits and prepare for external audits by regulatory agencies.
- Ensure all relevant applications, such as permits, licenses, and certifications, are filed and maintained.
- Application Preparation:
- Complete and file all required applications, including:
- Contracts (private and government)
- Insurance policies and claims
- Licensing applications
- Secretary of State registrations and renewals
- Maintain comprehensive records of all applications and track their status to ensure timely submission and renewal.
- Reporting and Documentation:
- Prepare compliance status reports, highlighting any issues or resolutions for senior management.
- Maintain an organized, up-to-date repository of all contracts, insurance policies, permits, safety documentation, and licenses.
- Compile and submit necessary documents for audits and inspections.
Qualifications:
- Bachelor’s degree in Business, Legal Studies, Construction Management, or a related field (or equivalent experience).
- Minimum of 3-5 years of experience in contract management, insurance compliance, safety management, or related fields, preferably in the roofing or construction industry.
- Strong understanding of industry regulations, OSHA safety standards, contract law, and licensing requirements.
- Experience with filling out complex applications (government contracts, insurance, licensing, etc.).
- Familiarity with federal, state, and local regulations governing construction and roofing.
- Excellent organizational and communication skills.
- Proficiency in compliance software, contract management tools, and Google Suite.
Preferred Skills and Competencies:
- Experience in preparing and submitting government contract applications.
- Familiarity with insurance policies and claims processes in the roofing industry.
- Ability to manage multiple projects and deadlines simultaneously.
Working Conditions:
- Primarily office-based with occasional travel to project sites for safety inspections and compliance audits.
- Regular collaboration with contractors, insurance agents, and legal professionals.
