Role Overview

As Managing Director, you will help UMass Hillel achieve a new level of operational excellence and fulfillment of our mission at a time when students and other stakeholders are turning to Hillel for community, support and leadership in unprecedented numbers. This new senior leadership position is a tremendous opportunity for the right candidate to help shape an evolving organization and have a meaningful impact working with a great staff team amidst a vibrant student community.  This is a full-time on-site position in a flexible work environment.

The Managing Director will assume significant responsibility for the internal management of the organization, partnering with the Executive Director to implement UMass Hillel’s strategic priorities. The ideal candidate will have proven success in a leadership role within non-profit management, with the breadth and depth of experience and skillsets to serve in a broad leadership role akin to a Chief of Staff while also taking direct responsibility for several key areas of business management.  The ability to develop and maintain meaningful relationships with students, colleagues, campus partners and other stakeholders is vital for this role. The Managing Director will align the work of staff with strategic priorities, improving planning, collaboration, and communication within the organization, and will oversee HR, program execution, financial management, and grants management.

In this role, you will report to the Executive Director, supervise multiple staff including the Facilities and Operations Manager and Director of Student Life, and be a strategic thought partner with the Executive Director, Director of Advancement, and UMass Hillel Board of Directors. 

What You Will Do

  • Organizational Management
    • Manage and execute organizational & departmental goals
    • Oversee the development and execution of a clear student engagement and program plan for the organization
    • Annual calendar planning & coordination
    • Facilitate strong communication, coordination, and transparency between staff teams, student leaders, and board members, helping to cultivate a culture of shared mission, purpose, and appreciation
    • Partner with ED to manage strategic staff structure shifts and refinement of job portfolios
    • Oversee and enhance inter-team collaboration and coordination
  • Staff Management & Supervision
    • Supervise Facilities & Operations Manager, Director of Student Life, and Office Manager, including regular supervision meetings and annual goal setting and reviews
    • Provide support and oversight to ensure successful implementation and coordination of student life program plan, facilities and food service operations, and administrative functions
    • Manage calendar for annual staff goal setting and reviews
    • Organize staff trainings and oversee staff meeting scheduling
    • Improve and communicate organizational systems and policies
  • Financial Management
    • Partner with ED in budget planning and creation of annual budget, including managing the creation of departmental budgets
    • Oversee organizational budget, coordinating budget tracking with senior staff and bookkeeper, and ensuring expenses and revenue are categorized accurately
    • Create bi-annual budget projections, coordinating with ED and other senior staff and board members
    • Create and maintain annual financial calendar; participate in and support the Finance Committee
    • Manage, improve and communicate reimbursement processes
    • Manage financial accounts, including adding and removing individuals and facilitating financial transfers
    • Serve as liaison with CPA for annual financial review, 990, providing and gathering necessary information and coordinating with staff and board
    • Oversee existing Hillel House insurance plans, meeting and communicating with insurance broker to ensure up-to-date and sufficient insurance coverage
  • HR
    • Implement a talent plan for the organization in partnership with the ED and HR committee of the board
    • Oversee all HR administrative functions, including communication of HR and benefits information to staff and answering HR questions
    • Organize and oversee logistical elements of hiring and onboarding processes; lead or partner on hires and personnel management
    • Make updates to Paycom, Hillel’s HRIS, as needed in coordination with bookkeeper, ED and Hillel International
    • Liaise with Paycom for troubleshooting as needed
    • Work with ED and board to update personnel manual and related policies
  • Grants & Allocations Management
    • Create and maintain annual grants and allocations calendar shared among relevant staff
    • Manage grant applications and reporting, content creation, and deadlines among ED, Director of Advancement, and other staff
    • Maintain and review grant contracts
    • Systematize stewardship of partner organizations in collaboration with the Director of Advancement
    • Manage grants involving Student Life staff and student leaders; improve and communicate related processes

What You'll Bring to the Job

  • 5+ years of relevant experience in not-for-profit business management, academic administration, or executive leadership
  • Bachelor’s degree required, MBA or other relevant graduate degree preferred
  • Authentic care for Hillel’s mission and desire to help the Jewish student community thrive; relevant Jewish professional or educational experience
  • Excellent interpersonal skills; ability to work with stakeholders at all levels of the organization, from students to board members
  • Ability to calmly manage and problem-solve for a wide range of challenges
  • Significant experience with budgeting, financial management, supervision, HR, and organizational administration and operations
  • Experience organizing and facilitating collaboration between varied constituents, departments or stakeholders
  • Experience implementing organizational change and strategic initiatives; innate strength in planning and project management
  • Excellent analytical, organizational, and problem-solving skills. Excellent written and oral communication skills
  • Fluency with varied software including Office Suite, Dropbox, Google Docs, and other similar systems; familiarity with QuickBooks
  • A positive can-do attitude, drive for excellence, and ability to work well independently and with a team. Hard-working but able to have fun!
