Position Description

Airedale Property Trust (APT) is a property investment, management and development trust affiliated with the Methodist Church (MMN) of New Zealand.  Together, the Three Trusts (MMN, APT and Lifewise) hold and manage directly a portfolio of social housing, retirement villages, retail and residential properties.

This role combines the responsibilities of Property Management and Facilities Management and includes both residential and commercial properties.

The role is responsible for the management of the APT property investment portfolio, which includes social housing, private rentals, along with residential and commercial property portfolios managed on behalf of third parties.

WHAT YOU’RE RESPONSIBLE FOR

  • Overall management of properties, ensuring they are well maintained, occupied by tenants and generating revenue.
  • Act as the main point of contact for tenants, addressing their concerns, resolving conflict and ensuring a positive tenant experience.
  • Handle tenant communication, enforce lease agreements and mediate disputes when necessary.
  • Market rental properties and find suitable tenants. This includes advertising vacancies, conducting property tours, screening potential tenants, and executing lease agreements
  • Attend to repairs and maintenance requirements in a timely manner, and assess expenditure for cost effective options
  • Assist with leasing of commercial properties and liaising with tenants as required
  • Assist in Preparing monthly reports for property committee meetings and Board Reports
  • Reviewing residential leases terms and conditions. Be familiar with the terms of each rental or lease agreements, maintain regular contact with tenants
  • Schedule and undertake rent reviews
  • Manage insurance claims
  • Development and delivery of ongoing responsive, preventative and planned maintenance programmes for all portfolios
  • Manage relationships with vendors and contractors, obtain necessary services and ensure quality and timely performance. Negotiate contracts, supervise service providers, and coordinate their work.
  • Ensure compliance with Health & Safety legislation. Complete Health and Safety inspections for Health & Safety in Employment legislation, BWOFs, New Zealand Fire Service and operational guidelines. Attend Property Group Health and Safety meetings, maintain hazard registers and ensure all contractors comply with Property Group Health and Safety policy. Proactively carry out inspections of contractor equipment, compliance and maintain records.
  • Debtor management
  • Assisting with Budgeting and financial forecasting
  • Develop and manage property budgets, including expenses for maintenance, repairs, and property improvements. Manage financial tasks such as rent collection, expense tracking, and financial reporting
  • Understand the position of Māori as the tangata whenua. Commitment to the principles of the Treaty of Waitangi and an openness to understanding the application of the articles of Te Tiriti in the context of The Lifewise Trust.
  • Promotes a culture where health and safety is seen as integral to success through planning, delivery, monitoring and review of health and safety processes.

WHAT SKILLS & EXPERIENCE YOU NEED

  • Good understanding of the Residential Tenancies Act
  • Experience with a Property Management computer programme
  • Project Management skills to plan, coordinate and execute projects effectively, keeping them on schedule and within budget
  • Experience with scheduling and monitoring maintenance work and costs
  • Excellent communication and interpersonal skills to effectively resolve conflicts and maintain positive relationships
  • Willingness and ability to undertake a wide range of administrative tasks.
  • Cultural sensitivity and compassion to work with vulnerable people
