Job Title: Executive Assistant to the CEO

Location: London, UK

Job Type: Full-Time, Hybrid 

Overview:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO at MarcoPolo Learning. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a global hybrid working environment.This role is pivotal in facilitating the CEO’s ability to effectively lead and make informed decisions across the business.

Responsibilities:

  • Provide administrative support to the CEO, including managing an extremely active calendar of appointments, composing and preparing correspondence, and arranging complex and detailed travel plans, itineraries, and agendas.

  • Act as the point of contact between the CEO and internal/external stakeholders.

  • Facilitate smooth communication between the CEO’s office and other executives, employees, and stakeholders to ensure consistency in the CEO’s engagements and priorities.

  • Handle confidential information with the highest level of integrity and privacy.

  • Assist in preparing and editing presentations, reports, and other business documents.

  • Coordinate and provide support on various projects across the business, ensuring timely execution and follow-up.

  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.

  • Assist with the monitoring of budget including tracking expenditures and providing reports.

Requirements:

  • Bachelor’s degree in Business Administration or a related field.

  • 3-4 years of proven experience as an Executive Assistant or similar administrative role.

  • Exceptional organizational skills and impeccable attention to detail.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.

  • Proficient in G-Suite, Adobe Acrobat, Keynote and social media or web platforms.

  • Ability to handle multiple tasks while still delivering high-quality results under pressure.

  • Discretion and confidentiality are paramount.

This is a full-time position working on a hybrid schedule out of our London office .The salary for this role is set between £40,000 and £50,000 , along with stock options. The actual compensation offered will depend on work experience and skill level.
