Job description

The Position:  A Classic Age Group/Program Director is responsible for administrative oversight and year-round support of all soccer related activities for all teams in Age Group/Program. This position will coach teams as assigned by the Director of Soccer.

Essential Functions:

Weekly Responsibilities

  • Attend meeting as required (Staff, Regional Directors, Playmetrics, etc.).
  • Develop and oversee execution of the curriculum for Age Group.
  • Responsible for roster management.
  • Manage all coaching conflicts and ensure all games/training sessions have the appropriate coverage. Be willing to step in and provide coverage when needed for training sessions or games.
  • Ensure all training and games are covered by NCFC Youth staff.
  • Be vocal, share ideas and make any necessary recommendations to Program Directors.
  • Review daily injury report.

On-Field Tasks

  • Set the standard for all coaches to follow your adherence to all policy/regulations.
  • Be available and on field throughout tryout process (both Classic and Challenge).
  • Observe training sessions when possible - Be visible!
  • Attend/observe games on all in house game weekends - Be visible!
  • Evaluate staff/mentoring and providing feedback to each staff coach.
  • Be present during State Cup weekends (if you have teams competing).
  • Be present during all club tournaments/events.
  • Be present and willing to assist with all aspects of Coaching Education Series.
  • Lead 1 weekly training for each region per Age Group.
  • Responsible for assisting DOC w/ any video recording or additional responsibilities during games.
  • Evaluate training sessions weekly when not running the session.

Organizational Tasks

Roster Management:

  • Manage formation of team rosters during annual club tryouts and Player Placement Program.
  • Assist U13 directors with player placement during tryout process.
  • Ensure all coaches in age group/program clear risk management, harassment training and are cleared by HR prior to coaching players in the club.
  • Ensure all teams have a team manager and treasurer before the start of the season.
  • Monitor acceptance of player positions on teams and adjust rosters accordingly.
  • Set up evaluations and oversee placement of new players in-season.
  • Facilitate any player movement in-season.
  • Facilitate usage of guest player and club pass players, including GKs, throughout season.
  • Work with GK Staff to ensure teams have a GK at all games (U13+).

Season Planning:

  • Set up team meeting schedule for all program teams following tryouts.
  • Oversee the 3 meetings coaches are required to have (pre, mid, and end of season).
  • Create tournament calendar in conjunction with the DOC.
  • Work with DOC to develop season long curriculum for age group/program.

Communication Tasks

Regular Communication:

  • Be responsive to all communication including voicemails and emails (within 1 business day).
  • Email coaches weekly with program updates and pertinent information.
  • Establish open lines of communication with team managers and email them once a month with check in/updates.
  • Email program families 1st of each month with Program Updates/Recaps/News.
  • Responsible for any field closures and communication after 3pm on weekdays.
  • Liase with Juniors Program Directors to ensure continuity.
  • Manage adding players to teams within Playmetrics, email roster changes to add/drop, communicate addition to team personnel, and make sure uniform is added to soccer.com for new player.
  • Maintain open communication with injured players and their family, in conjunction with the Head Athletic Trainer, communicate long term injuries to finance department

Additional Communication:

  • Meet with coaching staff 1 on 1 each season to provide feedback.
  • Communicate with marketing staff on important issues that we can promote via social media.
  • Communicate with all tryout registrants in your program leading up to tryouts & throughout the tryout process.
  • Assist coaches and other directors with making phone calls to offer team spots during tryouts.

In-Season Processes:

  • Oversee and manage your coaches’ in-season processes (Evaluations, Depth Charts, Train Ups) and proactively follow up with coaches to ensure completion.
  • Ensure coaches conduct 3x team meetings per season (Pre-season, mid-season and end of season).
  • Provide template to conduct team/parent meetings.
  • Assist Tournament Director with Jr Showcase and Showcase bracketing.
  • Ensure all teams are bracketed properly in tournaments and communicate with tournament directors as needed.

Conflict Management

  • Meet with parents as needed.
  • Meet with coaches as needed to discuss any potential issues/concerns/problems.
  • If there is a Code of Conduct issue, meet with player/parent to determine appropriate action.
  • Follow-up with families that are delinquent with club related/team related dues/fees when requested by DOC.
  • Follow-up with coaches to ensure ineligible players are not participating.
  • Review annual survey and address any issues as needed.

Additional Responsibilities

  • Support all other club-related events as needed.
  • Be prepared to assist with any tasks assigned by the DOS.
  • Aid in identifying and securing classic coaches.
  • Mandatory reporter of abuse. Must report all suspected abuse within 24 hours using the Abuse Prevention Report.
  • Coach number of teams assigned.
  • Performs other incidental and related duties as required and assigned.

Qualifications/Competencies:

  • High School Diploma Required; Bachelor’s Degree or Higher Preferred
  • USSF B License or Equivalent Preferred
  • 3+ Years of Youth Coaching Experience Preferred

Job Type Requirements:

  • Fulltime, salaried position
  • Typical office hours are 10am-2pm 3 days a week in office (4 days during tryout periods), although this individual is expected to be attentive to emails and phone calls from home.
  • Typical on field hours include 2-3 hours per weeknight as well as 6+ hours per weekend day.
    • On field hours will vary throughout season and this individual is expected to be flexible and available to be on field as needed

Work Environment/Travel/Physical Demands:

  • While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • This person’s job is conducted in the office as well as outdoors. It will require this employee to attend outdoor youth sporting events during all seasons, including extreme temperatures and inclement weather, to fulfill job responsibilities and event support.
  • Physical demands: bending, sitting, lifting, and event set-up.
