ProcessMaker, a fast-growing B2B software-as-a-service company, is on a mission to simplify the way custom business processes are built and run with our AI-powered automation tools.

Reporting directly to the CEO, you will be responsible for providing corporate and personal level support to our CEO. You will be proactive in anticipating the requirements of all job functions and communicating with CEO and other Senior Executives, as well as implement systems and procedures to deal with scheduled and ad hoc workflow. You must be highly organized, self-motivated, and have a record of demonstrating strong follow-through.

Position will work out of our US Headquarters office in Durham, North Carolina.

Essential Functions:

  • Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently

  • Maintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflows

  • Manage communication with employees by liaising with internal and external executives on various projects and tasks

  • Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives

  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals

  • Provide administrative and office support

  • Maintain professionalism and strict confidentiality with all materials

  • Organize team communications and plan events, both internal and off-site

Qualifications:

  • Extremely strong organizational skills
  • Proficient in Microsoft office
  • Great written and verbal communication skills
  • Strong problem solving and prioritization abilities
  • Excellent time management skills
  • Proven ability in travel arrangements and scheduling meetings/appointments
  • 2-5 years previous experience in a Personal Assistant, Office Manager, or Executive Assistant role
  • Experience in a C-Level Assistant role is a plus
