Job Description    

This in-office position supports the daily operations of the wholesale customer service department. It requires a self-starter who is highly organized, detail-oriented, and skilled at accurate data entry. A desire to learn, build, and play with our products is also a must!  

Primary Responsibilities:

  • Respond promptly and professionally to wholesale customers, sales representatives, and consumers via phone and email.
  • Process wholesale orders and customer-related forms, including new account applications, using multiple software programs.
  • Perform data entry and data management, with a high level of detail, to ensure accurate pricing and product availability information in our ERP system.
  • Assist with key account order processing and relationship management, including account setup when needed.
  • Communicate information about our products and sales policies to retailers, consumers, and sales representatives.
  • Process customer returns and credits.
  • Work closely with our 3rd party fulfillment company to ensure our customer order requirements are met and goods ship on time.
  • Assist the credit department with credit checks for new account applications.
  • Process credit card payments.
  • Assist with operational reporting and take appropriate action to ensure that our order fulfillment service level goals are met.

Secondary Responsibilities (as needed):

  • Assist with product technical support and replacement part shipment during peak times

  • Various projects, such as model building and product testing

  • Shipping and receiving (low volume, small shipments)

  • Assist with trade show preparation

  • Some tradeshow travel may be required

We are looking for an individual with these qualities:

  • Strong organizational and follow-up skills

  • Extremely high attention to detail

  • Experience with data management and order processing (EDI, SAP Business One, and Zendesk is a plus)

  • Exceptional verbal and written communication skills

  • Ability to manage time well and prioritize with minimal guidance from management

  • Sound critical thinking and problem-solving skills

  • Self-starter who can work independently, but knows when to involve or escalate to the appropriate team members

  • Fast learner; can learn, retain, and apply information quickly and efficiently

  • Ability to remain calm, positive, and effective in high-energy, high-expectation situations of urgency

  • High degree of computer literacy; must be proficient in Microsoft Office and Google Suite

  • A true interest in Thames & Kosmos products and mission
