The Role

NB - This role is based in our Dublin 2 office.

We are looking for an enthusiastic, organised, and proactive Office Assistant to join Wolfgang Digital. The ideal candidate will play a key role in ensuring the smooth day-to-day operations of our fast-paced office, providing crucial support to the whole team.

This role is perfect for an individual with a keen attention to detail and a positive, energetic attitude. If you enjoy interacting with people, a varied workday, and contributing to a vibrant office environment, this position could be for you.

Responsibilities

Reception - Greeting and welcoming staff and visitors with a warm and friendly demeanour, ensuring a professional and inviting atmosphere.

Admin support such as handling emails and phone calls, directing enquiries to appropriate team members and ensuring timely communications.

Liaising with suppliers - as a main point of contact for Wolfgang it is important for the Office Assistant to develop and maintain strong, positive, and effective working relationships with our partners.

Assisting with the upkeep and stock management of office and canteen areas and supplies, preparation of meeting rooms, organising team and client lunches and trips, as well as the various other admin and support tasks that come up in our agency daily.

Team support - Co-ordination and scheduling of meetings, appointments, and travel arrangements for team members including our digital marketers, CEO and MD. Assisting our HR manager and the hiring teams with recruitment admin such as correspondence, scheduling interviews and using our recruitment tracking system.  Onboarding new team members ensuring they have everything they need.

Event support

Helping to organise our team and company events, overseeing details and logistics to create smooth and memorable experiences for staff and guests.

About you

  • Experience in a similar role

  • Efficiency in G Suite and Microsoft Office applications (Word, Excel, PowerPoint)

  • Strong organizational and time management skills

  • Ability to multi task, be proactive, maintain confidentiality, prioritize effectively and complete tasks with accuracy and efficiency.

  • Ability to maintain a positive attitude in a fast-paced environment.

  • Good interpersonal skills and the ability to work well with others

  • English fluency and excellent communication skills

  • Eligibility to live and work in Ireland
