Position: Payroll and AP Specialist

We are looking for a Payroll / AP Specialist to join our fast pace and dynamic team! A successful candidate will possess experience with complete full cycle accounts payable processes, including invoicing, review, coding, approvals, data entry and filing. You will also be responsible for running payroll for 250+ employees across 4 payroll entities. Responsibilities:

● Process payments through checks, ACH, wires, and credit cards

● Produce annual vendor 1099s

● Ensure all withholding and sales tax filings are paid on a timely basis

● Audit timesheets accurately to ensure wages and benefits are properly distributed

● Accurately record and document all transactions as directed

● Research, analyze, and resolve all discrepancies, reporting to management as needed

● Monitor all accounts continually for accuracy

● Reconcile credit card payables

● Ensure accurate taxation and garnishment is applied to each account

● Participate in end-of-month closing and audits

● Conduct year-end reporting for W-2s etc.

● Process all commissions per dependent per entity

● Remain in constant communication with teammates and management

● Communicate with HR teams to make necessary changes/updates to accounts

● Always remain in compliance with all legal and institutional requirements

● Demonstrate respect for client privacy

● Additional duties as needed

Requirements:

● Bachelor’s degree in Accounting/Finance/Business or related field preferred

● 5-7 years professional experience, with some experience on retail sales and e-commerce

● Intermediate Excel skills required

● Google Suite Proficiency required

● 5 plus years of experience with ADP or another major payroll provider

● 5 plus years of experience with an ERP (NetSuite preferred)

● Experience with AP Automation tools (Bill.com preferred)

● Strong understanding of sales and e-commerce a plus

● Excellent time management and organizational ability

● Ability to multitask and meet constant deadlines
