We are looking for a motivated Business Analyst to join our Employment Languages and Social Enterprise, team! Not sure if you're 100% qualified? We encourage you to apply anyway! 

POSITION FUNCTION:

This role encompasses the standardization of documents, data mining, maintenance, troubleshooting of Power Automate flows, creation, and maintenance of comprehensive documentation for automated processes, and working with teams and stakeholders to drive process improvements using technology.

KEY DUTIES AND RESPONSIBILITIES:

  • Data Mining & Maintenance:

    • Conduct data mining tasks to support the ELSE Dashboard.
    • Ensure the dashboard is updated accurately and on time.
    • Troubleshoot report issues, archive outdated data lists, and create new data lists for fiscal periods.
  • Power Automate Troubleshooting:

    • Review current and future automations for errors.
    • Maintain and update status reports on automations.
    • Provide emergency fixes and support for staff when automations malfunction.
  • Automation Documentation:

    • Map and keep all automation documentation up to date, including flow charts and BPMN.
    • Update process maps and create new versions to document process history.
    • Compile and maintain records of automations for each program, detailing flow URLs, names, descriptions, triggers, actions, and purposes.
    • Organize ELSE Automation Power Automate Flows and ensure documentation matches the adopted naming convention for easy cross-referencing.
  • Training Material Development:

    • Utilize Scribe to create visual learning tools and video training for new processes.
    • Develop training materials for automated processes to minimize user errors and document necessary interactions.
  • SharePoint Site Management:

    • Oversee the structural organization of SharePoint sites to ensure a logical, user-friendly layout that facilitates easy navigation and retrieval of information.
    • Ensure comprehensive documentation is in place for all aspects of process management, automation, and project execution, promoting transparency and accessibility.
  • SharePoint Lists Management:

    • Create, configure, and maintain SharePoint lists to capture and organize data effectively, supporting ELSE’s process management and automation initiatives.
    • Utilize SharePoint lists to track project details, timelines, and deliverables, ensuring all team members have access to up-to-date information.
    • Implement best practices for list management, including setting permissions, customizing views, and using validation to maintain data integrity.
  • Automation Creation and Maintenance:

    • Design and implement new automations to streamline processes.
    • Regularly maintain and update existing automations to ensure optimal performance.
  • Microsoft Forms and Surveys:

    • Develop and refine Microsoft forms and surveys for client engagement and feedback.
    • Ensure forms and surveys are user-friendly and meet the data collection needs of the organization.
  • Project Support:

    • Provide support to ongoing ELSE projects, working under the guidance of the Senior Business Analyst to contribute to project success.
  • Process Improvement:

    • Collaborate with teams and stakeholders to identify and implement technology-driven improvements to existing processes.

    • Analyze process workflows to increase efficiency and effectiveness.

    • Develop and implement standardized documents such as A3, flowcharts, and training materials.

    • Establish and maintain protocols for new process requests and process changes.

QUALIFICATIONS:

  • Experience in data analysis and process management.

  • Proficiency in Power Automate and other automation tools.

  • Strong analytical skills and meticulous attention to detail.

  • Excellent communication and documentation skills.

HOURS:

Full-time (35 hours per week)

The successful candidate may be permitted to work a hybrid work model (combination of in-office and remote work).

Candidate must be able to commute to MOSAIC Headquarters @ 5575 Boundary Rd. Vancouver & various locations as per on Job requirement.

BENEFITS:

A competitive benefits package is provided with contracts of at least 1 year in length and which offer a minimum of 17.5 hours of work per week.
